    • Assigned action items with owners and deadlines
    • Links to any updated documents, recordings, or resources

  2. Update Your Project Plan and Tools
    Don’t leave the project plan sitting in a silo. This keeps your project plan living and breathing, not just a static document. After the meeting:
    • Update task statuses and timelines

    • Adjust priorities and dependencies if anything shifted
  3. Check for Gaps or Clarifications
    Sometimes, decisions happen fast in meetings. If anything felt vague, now’s the time to clarify.
    Ask:
    • Did we define what “done” looks like for each task?
    • Are there dependencies or blockers that weren’t addressed?
    • Do team members have what they need to get started?
      Being proactive here saves time later.
  4. Loop in Those Who Weren’t There
    Not everyone needs to be in every meeting, but everyone needs to stay informed.
    Summarize the relevant takeaways and tag or notify the right people so nothing gets missed. This builds a culture of transparency and accountability.

    • Schedule the next check-in or milestone review
    • Set expectations for what will be reviewed or presented
